System administration is the central control module of scope products. Here you can efficiently manage all content and users, configure settings individually, and lay the foundation for a secure and flexible archiving solution.

Record and manage all system users of your archiving solution and define individual access rights for reading, writing, and administration.

Reports

Design and integrate your own reports or maintain existing reports so that you always have access to up-to-date evaluations.

Forms

Create and edit flexible input forms for your data based on individually defined elements from the “Data Elements” module.

Data elements

Define and manage input fields in different formats that can be compiled into data entry forms, and store code lists for accurate data entry.

Codes

Manage central codes and code groups (vocabularies) that are flexibly available in various system areas.

Units of description

Generation of cataloging units of descriptions in a hierarchical structure as part of the cataloging process. Recording and management of all information relevant to a cataloging unit (terms of use, retention periods, references, etc.). Mapping of the archive structure.

Locations

Recording and maintenance of buildings, rooms, racks, and storage areas. Optimal management of storage areas (identification of empty spaces, etc.). Fast and reliable location of containers and documents.

Containers

Packaging of (logical) units of desciptions in physical containers. Labeling of containers (barcodes, labels) and linking to a location. Categorization and control of container contents. Removal and borrowing.

Descriptors

In-depth indexing and standardized description of cataloging units, objects, or partners by assigning terms (preferred and non-preferred names, etc.). Centralized management of (standardized) terms. Simplified search for cataloging units and objects. Functionality can be expanded with the GND extension.

Accessions

Connection to partners who produce and deliver documents. Management of deliveries and their locations. Connections to previous accessions and catalogued holdings.

Partner

Recording and maintenance of all partner master data. Direct availability of partner data for communication via email, telephone, letter, etc. Linking of partners with other data such as accessions, units of descriptions, loans, etc.

Loans

Acceptance of loans via the Internet/intranet (requires scopeQuery and order Manager). Processing of loans to internal and external customers (order, loan, return, reminder, waiting lists, etc.). Evaluation of the use of archive material.

Reproductions

Receipt of reproduction orders via the Internet/intranet (requires scopeQuery and order Manager). Processing of reproduction orders (copies of files, photos, plans, etc.). Monitoring and evaluation of reproduction activities and reproduction status.

Filing plans

Storage of file plans Documents produced by partners in order to preserve them as classification systems and as means of accessing archived units of descriptions. Maintenance of references to documents produced by partners, catalogued holdings, administrative files, and other file plans.

Dossiers

Recording of general information about transactions. Classification of transactions and establishment of relationships with partners involved in the transaction or other transactions. Evaluation of own business activities from a wide variety of perspectives. Registration of transactions in a file plan (registration plan). Activities, documents, and events within the scope of dossiers are correctly documented, ensuring the traceability of transactions.

Documents

Capture and maintenance of metadata for documents belonging to a dossier (transaction). Creation of documents (e.g., based on templates) directly from scopeDossier. Management of documents in a logical business context, i.e., stored in a dossier and related to partners, events, and activities.

Activities

Recording and maintenance of activities (development, compilation, etc.) within the scope of individual transactions. Planning of activities and their assignment to the partners involved in the transaction. Dossier cross-file evaluation of open items (project controlling).

Objects

Development and inventory of buildings (including main, sub, and secondary objects). Additional development through “descriptors.” Link to “units of descriptions.”

With scopeQuery, you can display your data digitally via the Internet or intranet. Publicly accessible holdings can be easily searched, read, or borrowed as needed.

Searching archive holdings via the Internet or intranet. Creating and placing a copy of the files approved for publication on the web server. The module can be optimized with various extensions.

Query Order Manager

Placing orders for loans or reproductions via the Internet or intranet.

Query Synchronisation Tool

Mediation of archive content for online research. With additional options such as timelines, geosearch, virtual exhibitions, and blogs.

OAI-PMH Interface

For communicating catalog data in accordance with the OAI-PMH standard.

Web-based maintenance of units of descriptions

With scopeIngest, we support you in securely and efficiently transitioning to long-term digital archiving in accordance with OAIS DIN ISO 14721. This allows you to store your digital documents permanently and in an audit-proof manner.

scopeIngest OAIS

Data processing in accordance with OAIS and the CH standard eCH-0160 with integration of the Fedora Commons repository (adapter). All common file formats are supported, including conversion (PDF/A).

Repository Integration Optional

Specific connection of scopeIngest with adapters for e.g. Digitool from ExLibris or DIAS from IBM.

The DIMAG interface connects scopeArchiv with your digital long-term archiving system.
